Contact form

Data is used to handle your enquiry.

When you use the contact form or spare-parts request form, CFI Systems may receive your name, company, email address, telephone number, project information, equipment and part details, delivery address, message, and any photographs, drawings or documents you choose to attach. A Word request sheet may be generated automatically from this information.

Spare-parts requests may also be recorded in the private CFI AI Control Center so that the CFI team can qualify them. Uploaded files are emailed to CFI; form details and file names may be included in the internal case. These data are used only to assess the request, identify a part or possible equivalent, and prepare a response or quotation.

This information is used to assess your enquiry, reply to you, prepare a commercial or technical discussion and follow the professional relationship.

BasisYour request and, depending on context, CFI Systems’ legitimate interest in responding and following up a professional enquiry.
RecipientsCFI Systems and, where necessary for the project, authorised parties involved in handling the enquiry.
RetentionFor the time needed to handle and follow up the enquiry, followed by archiving where legal or contractual obligations justify it.

CFI Systems Assistant

Use of the AI assistant and email alerts.

The website may provide a conversational assistant designed to answer general questions about CFI Systems and direct visitors to the engineering team. Messages entered in the assistant are sent to the artificial-intelligence service provider used by CFI Systems in order to generate a reply.

When a question is sent, its content and the address of the page being viewed may also trigger an internal email alert to CFI Systems for commercial or technical follow-up. The alert does not identify the visitor unless the visitor has voluntarily provided contact details.

If the visitor chooses “Send my request to CFI”, the contact details provided, the message and the conversation history are emailed to CFI Systems. For security, abuse prevention and request follow-up, CFI Systems may separately log the IP address, date and time, browser technical information, an approximate location derived from the IP address, and the request content. These logs are not used for advertising and access is restricted.

To help CFI Systems identify which topics are of most interest to visitors, the assistant may also update anonymous aggregate counters by broad topic family and language. These counters are kept for a limited technical window (maximum 45 days) and do not contain the question text, IP address, email address or visitor identifier.

The assistant uses a strictly necessary technical session cookie to limit abuse and request volume. This cookie is not used for advertising or profiling. Visitors should not submit sensitive personal data or confidential information in the chat.

Cookies & analytics

No advertising tracking integrated at this stage.

The website code currently delivered does not integrate third-party advertising or audience-measurement services requiring non-essential cookies. Strictly necessary technical elements may nevertheless be used by hosting infrastructure, the browser or the CFI Systems assistant to operate and secure the service and prevent abuse.

If analytics or marketing tools requiring consent are added later, the information and consent mechanism will be updated accordingly.

Your rights

Access, correction, objection and deletion.

Subject to applicable law, you may request access to personal data, correction, deletion, restriction of processing or object to certain processing. You may also exercise data-portability rights where applicable.

To exercise your rights: contact@cfi-systems.com. Proof of identity may be requested only where necessary to verify the requester’s identity.

You may also lodge a complaint with the competent data-protection authority.
